Job Description Summary:

To support the assigned department and work directly with the department head on coordination of department program activities.

Job Description:
Description of Duties and Tasks
1) Arranges and coordinates assigned activities, as needed.
2) Advises students on various aspects of the program such as majors, course selection, transferability, and prerequisite for degree plans.
3) Distributes and tracks student paperwork, as required.
4) Maintains communications with department chair and faculty in the department.
5) May assist with creation and maintenance of departmental and/or instructional websites.
6) Depending on department, may address student issues arising from field observation requirement. Forwards such issues to Department Chair as needed. Meets with students on a one-to-one basis when necessary, to resolve problems with field observations.
7) Depending on department, may coordinate placement and scheduling of Austin Community College (ACC) students in public schools for required observations. Maintains telephone and email correspondences with ISD partners, ACC faculty, and students. Prepares and forwards all necessary documentation and background check information to participating school districts for placement.
8) Depending on department, may serve as a liaison between ACC and independent school district personnel. Establishes and maintains new partnerships for field observation placements. Assists with college and department related outreach and networking.
9) Depending on department, may Initiate, assist, and maintain communication with public school officials and administrative staff regarding school visitation portion of Coordinating Board requirements for ACC education courses.
10) May oversee work of hourly employees.
Additional duties
1) Advise students on various aspects of the Visual Communication Department program such as majors, course selection, transferability, and prerequisite for degree plans.
  • Serve as first point-of-contact for students who have questions and issues and directs them to the appropriate resource where necessary.
  • Help ensure student success and completion through case management.
  • Communicate with students about courses and experiential learning opportunities such as workshops, practicum courses, and internships.
  • Facilitate student processes such as course challenges, course substitutions, course waivers, and similar.
2) Manage communications:
  • Maintain student-facing communication to ensure Viscom students receive timely and relevant information regarding registration, events, career advancement opportunities, resources, and anything else they might need to know via website updates, email updates, and e-newsletters, using tools such as WordPress and MailChimp.
  • Develop and maintain external-facing communication that allows the department to engage with industry partners and to promote the department. Methods include writing and coordinating marketing materials (e.g. emails, blogposts, newsletters), and updating information and stories on our websites.
3) Plan, coordinate, and facilitate departmental events (such as student graduate showcases, mixers, talks, and student club activities), including marketing, outreach, invitation, promotion, and purchasing.
4) Perform data collection, tracking, organizing, and reporting on student enrollment, activities, and participation on a regular basis. Present summary reports to departmental stakeholders. Compile reports for the college: annual reports, data, information to the dean, and others.

5) Promote the department by attending job fairs, high school outreach/recruiting events, and professional association meetings. Host student tours and visitors to the department.

Special Requirements

  • A criminal background check may be conducted if this position requires public school visitations.
  • Valid Texas Driver’s License and reliable transportation may be required if position will involve travel between ACC campuses and local public school districts.
Physical Requirements

  • Work is performed in a standard office or similar environment.
  • Subject to standing, walking, sitting, bending, reaching, pushing, and pulling.
  • Occasional lifting of objects up to 10 pounds.
